Minutes of the Meeting of the Board of Directors 

NTM Scholarship Foundation Meeting: 

October 6, 1999

Attendees: Barbara DeVries, Roger Durham, John Atchley, Colin Wedgwood, Debbie Kittenbacher.

 

The meeting was called to order by DeVries at 7:26pm at Humperdink's Restaurant. Durham moved and Wedgwood seconded a motion to waive reading of the minutes of the 8/11/99 meeting and approve them as presented by secretary Kittenbacher. Durham presented the attached treasurer's report showing a balance of $4084.45, including a $300 check for the 1999 scholarship. We are still owed $200 from the anonymous donor from the recent matching grant. There has been no change in the bank service charge situation. The issue was again deferred. Moved Kittenbacher, seconded Durham to accept the report as presented.

Old Business: DeVries reported that 35 solicitation letters were sent requesting donations to the RG NTMSF raffle from last year's mailing list. Four of these were returned for a bad address, and there have been five donations to date (from TI, 7/11, the Container Store, Alpha Photography, and the Doubletree Hotel). The requested demographic information on Mensa members has not been received from the National Office (NO). Kittenbacher has sent no further requests. There was a misunderstanding on the disc Kittenbacher was given by DeVries, so no mailing went out to the other 100 potential donors. She will send these if the further info is received from the NO in the next three weeks. Otherwise, this will be deferred till next year. Note: deferred-DK. The details of the raffle were discussed-it will take place on Saturday evening rather than Sunday this year.

Since Kat Walston was absent, no info was available on the list of fund matching organizations. DeVries reported that no list had been obtained.

 

New Business We discussed the prior board resolution on limiting the amount of annual scholarships to the lesser of $300 or 1/2 the money donated during the preceding year until the foundation has $10000 on deposit. We agreed that this was a sound policy. The 2000 scholarship will therefore be $300.

Atchley discussed the 2000 national MERF Essay Contest. He will be sending out the "request for entries" letters very soon, and will include our $300 award in the letter. Essays are due by 1/31 /00, and judging will be in 2/2000.

DeVries will write an article for the M-Aura requesting year-end tax-deductible donations.

For fundraising events in the year 2000, we agreed to hold another garage sale at Kittenbacher's house in approximately May.

The next meeting will be on December 1, 1999 at the same time and place.

The 12/1199 meeting was never convened due to the lack of a quorum. The next meeting was originally set for 2/2/00, but this was rescheduled by telephone to 3/1/00 so that the NTMSF could more promptly review the results of the 2/13/00 MERF essay contest judging and award the 2000 $300 scholarship.

August 11, 1999

 

Attendees: Barbara DeVries, John Atchley, Colin Wedgwood, Debbie Kittenbacher, and (later) Roger Durham

 

The meeting was called to order by DeVries at 7:23pm at Humperdink's Restaurant. There was unanimous agreement to waive reading of the minutes of the 6/9/99 meeting and approve them as presented by secretary Kittenbacher. The treasurer's report was deferred.

 

Old Business: DeVries reported that she contacted the winner of our $300 scholarship, and discovered that HE (not she) was going to Union College in NY. All information to forward the check is now available, and it will be issued shortly. The matching grant from the anonymous donor remains in effect through Labor Day. Contributions are being received. Durham later reported approximately $400 in contributions to date.

Kittenbacher reported that the requested info from the National Office on Mensa demographics has not yet arrived. She has re-requested, and will send to additional companies when received. DeVries asked that the letters requesting donations for the 11/99 raffle be sent to those on the data base from 1998, and signed copies she had prepared.

 

New Business: We discussed the possibility of moving our bank accounts, since it appears that we can't get the bank to waive charges or combine the balances of the NTM regular accounts and the Scholarship Fdn. accounts for minimum balance purposes. Wedgwood and Durham will investigate. Action deferred until the next meeting.

 

The next meeting will be on October 6, 1999 at the same time and place.

Minutes of the Meeting of the Board of Directors 

NTM Scholarship Foundation Meeting: 

June 9,1999

 

Attendees: Barbara DeVries, Kat Walston, Roger Durham, Debbie Kittenbacher

 

The meeting was called to order by DeVries at 7:10pm at Humperdink's Restaurant. Walston moved, Durham seconded to waive reading of the minutes of the 3/3/99 meeting and approve them as presented by secretary Kittenbacher. Passed (All motions pass unanimously unless otherwise stated). Treasurer Durham reported an account balance of $2,414.45, including $1000 from the NTM board. We have received an additional $200 in contributions which have not yet been deposited while awaiting the matching grants promised by an anonymous donor. The promise of matching grants covers all donations received prior to Labor Day, as discussed in Durham's 5/99 column in the M-Aura. NTM Treasurer Colin Wedgwood is exploring the possibility of combining the total balances of NTM's accounts with those of the Scholarship Foundation (although maintaining them as separate accounts) with Bank of America, the successor to Nations bank. This would enable the foundation to avoid monthly fees. Moved Kittenbacher second Walston to accept the report.

 

Old Business: The winner of our $300 scholarship has not yet been notified. DeVries will do so as soon as possible. Walston will continue to try to obtain a list of non‑profit foundations.

 

New Business

The fund-raising letter for the raffle at NTM's Regional Gathering should be written by Kittenbacher as soon as possible. It was suggested by that we send the letter this year to all major department stores, sports stores, bookstores, gadget (e.g. Sharper Image) and audio equipment stores, as well as those solicited in prior years. To do this, we should be able to include the statement "Our member profile shops at your store'. Kittenbacher will call the National Office and request the data from the member profile survey recently discussed in the Mensa Bulletin.

 

The next meeting will be on August 4,1999 at the same time and place.

Minutes of the Meeting of the Board of Directors

NTM Scholarship Foundation Meeting: 

March 3,1999

 

Attendees: Barbara DeVries, Kat Walston, Roger Durham, Debbie Kittenbacher, John Atchley, Colin Wedgwood

The meeting was called to order by DeVries at 8:00pm at Humperdink's Restaurant. Walston moved, Durham seconded to waive reading of the minutes of the 2/10/98 meeting and approve them as presented by secretary Kittenbacher. Passed (All motions pass unanimously unless otherwise stated). Treasurer Durham reported an account balance of $1429.45, $5 less than the previous meeting (the bank fee). Although the NTM board voted to contribute $1000 to the Foundation at its 2/28/99 meeting, those funds have not yet been received. Kittenbacher was directed to write a thank you note to the NTM board. Moved Kittenbacher, second Atchley to accept the report.

 

Old Business: NONE

 

New Business: Atchley reported that we received 74 essays for the MERF Scholarship Essay competition, which was judged on 2/13199. All board members who had not previously read the top 10 entries from the judging did so at this time in order to determine the winner of this year's foundation scholarship. All board members chose their two favorite essays. The essay which received the most votes was that of Darshana Sivakumaran of Addison, who at age 17 attends W.C. White High School in Dallas this year, and will attend a college to be announced next fall. Moved Kittenbacher second Walston to award the 1999 $300 to Mr. Sivakumaran.

 

Possible fundraising ideas were discussed. DeVries suggested that we hold a pot luck dinner and games night with an additional $5 entrance fee as a donation to the Foundation. No action was taken. Durham stated that we may receive a matching challenge grant from an anonymous donor(s). If this materializes, it will be announced In the May M‑Aura. The auto mentioned at the 2/99 meeting was not donated to us.

 

The next meeting will be on May 5,1999 at the same time and place.

Minutes of the Meeting of the Board of Directors

NTM Scholarship Foundation Meeting:

February 10, 1999

 

Attendees: Barbara DeVries, Kat Walston, Roger Durham, Debbie Kittenbacher, John Atchley

 

The meeting was called to order by new president Barbara DeVries at 7:38pm at Humperdink's Restaurant. Kittenbacher moved, Durham seconded to waive reading of the minutes of the 12/5/98 meeting and approve them as presented by former secretary Barbara DeVries. Passed (All motions pass unanimously unless otherwise stated). Treasurer Roger Durham reported an account balance of $1434.45. This includes 4 contributions totaling $220 from his article in the 12/98 M‑Aura. We are again being charged a bank fee of $5/month. As of 1/1/99, the required minimum balance for no‑fee business checking, as that bank designates us, is again $5000. Alternatives were discussed, but no action was taken. Moved Kittenbacher second Walston to accept the report.

 

Old Business: Kittenbacher reported that all prizes won at the 11/29/98 RG Raffle which were not collected by the winners on that date have been given or mailed to the winners. The $18 postage cost was paid using an additional $15 collected for raffle ticket sales that was resolved from the amounts transferred to Durham after the RG.

 

New Business: NTM Scholarship Chair Atchley reported that we had received 70 essays to date for the MERF Scholarship competition. Of these, 13 were received after the 2/1/99 deadline, but he will accept all entries received prior to the judging date of 2/13/99 at 2:00pm. There will be no prejudging this year due the lower number of total entries. All entries will be read 3 times on 2/13. He has agreed to continue to act as Scholarship Chair for the 1999 competition. The BOD agreed to read the top 10 entries from that judging at or before our next meeting in order to determine the winner of this year's scholarship. This is limited to $300 by motion passed 12/97. We advanced Me date of the next meeting to 3/3/99 in order to provide for more timely award of the scholarship.

Possible fundraising ideas were discussed. DeVries suggested that we sell tickets at a large NTM meeting or party, with the winner to take 1/2 and the Foundation to receive the other 'A. No action was taken. Walston will check on the possibility of acquiring a mailing list for an association of charitable organizations.

The NTM Board of Directors will consider the disposition of the RG profits at its next meeting 2/28. One proposal is to give a possible $1000 to the Foundation for scholarships. We also discussed a possible gift of an automobile by a third party.

Durham moved Walston seconded adjournment at 8:17 pm. Next meeting 3/3/99, same location.
