Minutes of the Board Meeting

December 8, 1997

The meeting came to order at 7:55 p.m. at Two Rows Restaurant.

The minutes of the prior meeting on September 16, 1997 were accepted without reading.

Roger Durham presented the Treasurer’s report, stating that we received $202.00 from the RG raffle.  We also have an undermined amount of cash in coinage from the garage sale turned over from Colin Wedgewood, the former Treasurer.  Roger deposited $217.50 to the bank account.  The balance in the bank account is unknown because the bank account was allowed to become dormant at the bank.   Roger noted that we need to change the signatory and address for the account.

President Debbie Kittenbacher reported that the scholarship committee participated at the regional event and raised money .  In response to the 40 corporate letters sent, only those listed in the program donated.  The following problems were noted for future reference:

a. No follow-up with personal contact

b. Letters were sent too late in the year; money was already spent

She recommended that we correct these problems next year.

We received approximately $732 from NTM (North Texas Mensa) for the 1996 garage sale.  This needs to go through the foundation’s checking account for proper accounting.

An anonymous donor has pledged $500 and needs a receipt by January end.  There are no conditions placed on the donation.  The donor needs a letter of acknowledgement from the President and Secretary.

A motion was made and passed to write a $600 check to reimburse NTM for the 96-97 scholarship award.

The Board discussed the garage sale in the spring to be hosted at Debbie Kittenbacher’s.

A motion was made and passed to establish an unofficial policy for the foundation to award one scholarship per year for $300 or one-half of the money donated during the immediate preceding 12 months to continue until the foundation has $10,000 on deposit.  The purpose of this policy is to allow the endowment of the foundation to grow for funding scholarships.

In approval of the policy Andy McKeller donated $50.00.

The next meeting was set for February 4, 1998.

Solicitation for the essay contest for March judging have been sent.  There is an internet site listing scholarships nationwide.  We have been informed by Angela Luecht, the assistant managing director of National Mensa in Fort Worth that submission from this will not be processed.  We were referred to Rick Hess to pick up applications and to send them to regional chairs.

Minutes of the Meeting

Monday, September 15, 1997

The meeting was held at the Two Rows Restaurant and Brewery. Dallas. Texas, in conjunction with another meeting of North Texas Mensa (NTM). 

Debbie Kittenbacher related the rather turgid account of actually re-establishing this foundation as a non-profit organization, with the expert help of Mr. Roger Durham. 

The meeting was called to order by Ms. Kittenbacher at 7:39 CDT. Present were board members Kathy Walston, Roger Durham, Karen Brack, John Atchley , absent Cindy Bicking.  A quorum was present. 

Ms. Kittenbacher noted that the post of secretary was vacant. It was moved by Ms. Walston and seconded by Mr.   Durham that Ms. Barbara DeVries be nominated for that office. Ms. DeVries was present and accepted the nomination. . That election, in addition to the elections for president and vice-president of the foundation will run concurrently with election of NTM officers in November. The proposal was unopposed.

It was suggested by Mr. Durham that NTM have a raffle to benefit the Scholarship foundation.

So moved by Walston, seconded by Durham. None opposed, all in favor. Tickets will he $1.00 each, or 6 for $5.00. The winning prize(s) are yet undetermined.
